How to Avoid Costly Mistakes When Ordering Drilling Rig Pipe and Rock Drill Bits

If you're sourcing drilling rig pipe, rock drill bits, or concrete core drill bits (especially odd sizes like 1⅜” or 4”), and you’re not a full-time drilling engineer, this list is for you. I've been handling equipment orders for 6 years, and I’ve personally made enough costly errors to fill a small textbook. Below are the 5 steps I now run through before every single order. They've saved me about $3,200 in wasted budget so far.

Step 1 – Verify the Pipe Connection Type, Not Just the Diameter

In my first year (2017), I ordered 20 sticks of 2⅜” drill rod for a small water well job. The pipe diameter was perfect—but the connection was API Reg, and the rig used a 2⅜” IF box. Total mismatch. That mistake cost me $890 in return shipping plus a one-week delay.

What to check:

  • Thread type: API Reg, IF, FH, or metric
  • Box/pin configuration: is the pin on the pipe or the tool?
  • Make-up torque spec – some connections look identical but require different torque

Don’t trust the vendor’s “standard” description—ask for the actual thread gauge if possible. I now keep a thread profile card in my toolbox.

Step 2 – Never Assume “Universal” Bit Compatibility

I once needed a rock drill bit for a pneumatic DTH hammer. The sales rep said their 4” button bit would work “on most hammers.” Spoiler: it didn’t. The shank length was too short by 12 mm, and the hammer couldn’t seat properly. That was a $320 lesson (bit cost + lost drilling time).

Key checks for bits:

  • Shank type and length (e.g., T38, T45, R32, or DHD 3.5)
  • Face shape: flat, convex, drop center – impacts performance in hard rock
  • Button pattern and carbide grade – for the specific rock type you're drilling

Now I always ask the vendor to confirm the shank specification in writing before ordering.

Step 3 – Measure Core Drill Bits Down to the Millimeter

4 inch concrete core drill bit might sound straightforward, but actual cutting diameters vary between manufacturers. I learned this the hard way when a 4” bit I ordered cut a 4.06” hole—too big for the anchor bolt we needed to install. The project engineer wasn’t happy.

Same issue with 1⅜” core drill bit: some bits are exactly 1.375”, others are 1.380” to allow clearance. That extra 0.005” can mean the difference between a snug fit and a loose one.

What I do now:

  1. Ask for the actual cutter diameter (not just nominal size)
  2. Check the barrel length – short barrels work for shallow holes, but for deeper rebar you need a longer barrel
  3. Verify wet vs. dry usage – dry bits typically have different segments and coolant requirements

I keep a spreadsheet of measured diameters from every supplier I’ve used. It’s saved me from reordering countless times.

Step 4 – Don’t Save $50 on a Rod Adapter — It’ll Cost You $500

A classic “penny wise, pound foolish” moment: I bought a cheap rod drill bit adapter to connect our 3” drill rod to a 2⅜” bit. The adapter cost $78 instead of the OEM’s $130. Within 3 hours of drilling, the adapter cracked under load. The bit fell down the hole, and we lost the entire string for two days. Recovery cost: $470 plus downtime.

Where cheap parts really hurt:

  • Subs and adapters – high-stress points, always use quality steel
  • Crossovers between different thread types – failure risk is high
  • Bit retainers and O-rings – a $3 O-ring failure can cause lost circulation

I now have a rule: if the part is less than 15% of the total order value, I don’t try to save on it.

Step 5 – Confirm Inventory Before You Promise a Date

Last year, I needed a specific drill for pipe (a pipe driller attachment) for a directional boring job. The vendor’s website showed “in stock.” I quoted my customer a 3-day delivery. Turned out the item was on a 2-week backorder. I lost the job and paid $700 in expedited freight to get a substitute from another supplier.

My pre-order checklist now includes:

  • Call the warehouse, not just check the website
  • Ask if the item is physically on the shelf or on a purchase order
  • Get a written lead time for custom parts (like non-standard thread)

For critical items, I also ask the supplier to confirm the batch number so I can trace it later.

Common Mistakes (That I Still See)

  • Mixing API and metric threads – always double-check the specs in both systems
  • Ignoring wall thickness on pipe – a thinner wall may save weight but can collapse under torque
  • Ordering rock bits without rock type data – soft formation bits wear fast in hard granite
  • Thinking “standard” means the same across brands – it doesn’t. Always compare actual drawings.

One more thing: I don’t claim to know everything about drilling equipment. I’ve said “I don’t know” plenty of times, and it always worked better than pretending. When I’m outside my expertise (like deep geothermal or weird thread patterns), I ask for help from a specialist. That’s not weakness—it’s how you avoid $3,200 mistakes.
